Centralized Archiving Solution for a Decentralized Organization
Bububox enables the Amt für Jugend und Berufsberatung des Kantons Zürich to implement a central archiving solution across 25 different locations. The centrally managed directory is accessible online at each of the 25 locations.
The data protection-compliant archiving ensures that retention periods are correctly observed.
The Amt für Jugend und Berufsberatung des Kantons Zürich (AJB) is the point of contact for all matters relating to family, parenting and personal career development. At 25 locations across the canton, it provides advice to families and individuals through its Career Information Centres (BIZ) and Child and Youth Support Centres (KJZ). Not all locations have sufficient space to archive their records, particularly as statutory retention periods of up to 100 years apply in some cases.
Since 2016, Bububox has been transferring records from the individual locations to its central archive facilities in Uster. In several stages, the holdings were transferred location by location and catalogued in detail – around 2,000 linear metres in total. Since then, the BIZ and KJZ locations have not only been relieved of the resource-intensive task of maintaining their own archives. The centrally managed records directory, which each location can access through Bububox’s encrypted customer portal, also makes collaboration easier.
Requested files are delivered by Bububox from the central archive to any of the 25 locations within 24 hours. New records and returned files are collected at regular intervals through consolidated transport services. Once retention periods expire, the AJB offers the relevant records to the State Archives of the Canton of Zurich. Bububox facilitates this process by preparing an annual list of files whose retention periods are due to expire and by handling the transfer of records to the State Archives.
The AJB awarded the archiving contract through an open tender procedure. In addition to data protection-compliant archiving, ensured by Bububox through its rigorous security processes and GoodPriv@cy certification, the contract also covers a range of archive services, including the timely delivery of requested records.
Reorganization of External Archiving Solution
Bububox provides certified, FINMA-compliant process security, the necessary security infrastructure and flexible logistics services.
Today, Viseca stores its entire archive with Bububox and benefits from its wide range of services.
Viseca is a holding company owned by Swiss retail and cantonal banks and provides products and services for cashless payments. With additional activities in personal loans, leasing and rental deposit guarantees, the group is broadly positioned in a growing market. In autumn 2016, Viseca decided to reorganise and fully centralise the archiving of its documents, as its records had previously been stored partly in-house and partly with external providers.
The need for professional storage of documents from different archive environments, combined with a redefinition of the archiving process, was an ideal starting point for Bububox. Thanks to its ISO and GoodPriv@cy certifications and FINMA-compliant processes, Bububox was able to ensure process reliability, meet demanding security requirements with archive facilities protected against burglary, fire and water damage, and provide flexible logistics services tailored to the client’s needs.
In the first phase, all archive materials from Viseca’s internal and external locations were transferred to the Bububox archive facilities. Before the records were put into storage, the processes for storage, retrieval and destruction were redefined. During ongoing operations, newly created archive materials are now collected at regular intervals from the various Viseca locations.
